Job Description:

The Corporate Real Estate division (CRE) is comprised of four primary teams: Airport Affairs, Commercial Real Estate, Design & Construction Management, and Facilities Management. The coordinator position is responsible for coordinating and providing support to all functions of the Corporate Real Estate (CRE) division with day-to-day financial administration, oversight of lease/contract processing, invoice processing, and department reporting. This position will collaborate with CRE business partners such as FP&A, Accounting, and external vendors to track, report, and communicate status of various projects, agreements, invoices and other related priorities. This position develops and maintains internal reporting and metrics related to CRE’s business.

Job Responsibilities:

  • Coordinate with FP&A to ensure airport rates & charges are captured correctly.
  • Coordinate development of processes for financial and contract approvals. Assist with maintaining and ensuring process is followed and providing suggested revisions from time to time as appropriate.
  • Other duties as assigned or directed.
  • Develop and maintain reports/dashboards to manage CRE data, including metrics such as company headcount, workstation inventory, parking capacity, and utility consumption.
  • Partner with Airport Affairs on the development and implementation of a recurring audit program of the company’s leasehold throughout the airport network ensuring that the occupied spaces align with leases, revocable permits and related invoicing records.
  • Collaborate with CRE and its business partners all financial administration elements including PO/invoice process, recurring variance reporting, budget and forecast development, and associated presentations.
  • Support lease/contract management by creating lease abstracts for all existing and new leases, generating a lease calendar to track important lease dates for all contracts.

Job Requirements:

  • Ability to work independently while maintaining an energetic and positive attitude.
  • High school diploma or equivalent
  • 2 years of proven experience effectively and independently coordinating multiple important tasks on a daily basis and implementing process improvements in order to facilitate the flow of information within and between stakeholders in a timely and efficient manner.
  • Proven ability to establish and maintain productive and collaborative relationships.
  • Job will require off site/off island travel
  • Proficiency with word processing, presentation and spreadsheet applications (Microsoft Word, Excel, Outlook and PowerPoint).
  • Excellent written/oral communication skills and/or reporting in a detailed, organized and timely manner.
  • Ability to maintain the highest standards of professionalism, discretion and confidentiality at all times.
